How we work

From first meeting to long after go-live.

Explore the path which other businesses have followed to take them from survive to thrive. This is a blueprint to transform your operation without the fluff.

  1. Stage 01 / 07 Short and focused

    So, a meeting.

    Initial consultation

Yes, it starts with a meeting. But not the kind you’re thinking of. No slides. No pitch deck. No “synergies”. We just want to hear about your business - what works, what doesn’t, and what keeps you up at night.

Founding Engineer · your point of contact

    What happens

    • Overview of your current systems and pain points
    • Alignment on goals, scope, and rough timeline
    • Identify if our team is a good fit to carry you forward
  2. Stage 02 / 07 Fast but thorough

    Another meeting… why?

    Deep-dive workshop

Because the first one was us listening. This one is us beginning to problem solve. We get into technical aspects of what was raised on the intro call and build a comprehensive understanding of your landscape.

Founding Engineer · your point of contact

    What happens

    • Technical questions around current processes
    • Interviews with the people who actually do the work
    • Current-state process mapping (yes, the messy bits too)
  3. Stage 03 / 07 Straight to your floor

    Now we draw the map.

    Scoping & discovery

The previous meetings were us listening. This one is us watching. Our engineers come to your site, shadow your teams, and map every workflow end-to-end. We learn more in two days on your floor than most vendors learn in a year.

Implementation Engineer · your point of contact

    What happens

    • Detailed requirements specification
    • Workflow design with your approval gates
    • Data flow and integration audit
    • Fixed-scope proposal with transparent pricing
  4. Stage 04 / 07 Faster than you’d think

    The boring,
    but critical, bit

    Data onboarding

Your data is the foundation of everything. We extract it, clean it, deduplicate it, validate it, and migrate it into Arcflow. Master data, historical records, open transactions - nothing gets left behind. It’s tedious work. We’re good at it.

    What happens

    • Data extraction from legacy systems
    • Cleansing, deduplication, and validation
    • Master data setup (items, BOMs, customers, suppliers)
    • Initial testing
  5. Stage 05 / 07 Built at pace

This is where it gets fun.

    Implementation

Your Arcflow instance takes shape. Module by module, workflow by workflow. We configure, you test, we iterate. Your people are involved at every stage - because a system nobody understands is a system nobody uses.

Implementation Lead · your point of contact

    What happens

    • Module-by-module configuration to match the blueprint
    • Custom workflow and automation builds
    • User acceptance testing with your actual team
    • Training sessions for every user group
  6. Stage 06 / 07 Side by side

    Deep breath.

    On-Site Go Live

2 Arcflow Engineers come on-site to do the final pieces of your implementation. This includes in-person training, final simulations, switch over and monitoring. Once they leave you are Arcflow-ing.

    What happens

    • Final data sync and cutover
    • On-site engineering support
    • Real-time issue resolution
    • User support and training
  7. Stage 07 / 07 Ongoing

    We stay.

    Post go-live support

This is where most vendors disappear. Not us. Dedicated support channel, monthly check-ins, continuous optimisation. Your system grows as your business does. New feature request? We hear you. New hire needs training? We’re there.

    What happens

    • Dedicated support channel
    • Monthly performance reviews and optimisation
    • Feature requests feed into our roadmap
    • Ongoing training for new team members

That’s the whole journey.

No hidden steps. No surprise fees. Just a clear path from where you are to where you need to be.
